This privacy policy explains how Servexi LLC ("Servexi," "we," "us") handles information when you visit servexi.io or use our software, including the Exterminator Suite web and mobile apps and any future Servexi suites (together, the "Services").
1. Who this policy covers
Our customers are businesses, such as pest control companies, that use the Services to run their operations ("Customers"). Their employees use the Services as "Users." Customers also store information about their own clients, such as homeowners and businesses that receive service ("End Customers").
When a Customer stores End Customer information in the Services, the Customer controls that information and we process it on the Customer's behalf and under their instructions. If you are an End Customer with a question about your information, please contact the service company you work with. We will help them respond.
2. Information we collect
Information you give us
- Account information: name, business name, email address, phone number, job role, and password (stored only in hashed form).
- Business data: information Customers and Users enter to run their business, such as End Customer names, service addresses, phone numbers, email addresses, appointments, service notes, products and chemicals applied, inspection findings, photos, signatures, invoices, and messages.
- Support communications: what you send us when you email or contact us.
Information collected when you use the Services
- Device and usage information: device type, operating system, app version, IP address, browser type, pages and screens viewed, and crash and performance logs.
- Location: if a User allows it in the mobile app, we collect the device's location while the app is being used for work, for example to show routes, record arrival at a service address, or confirm where a service was performed. Users can turn location access off at any time in their device settings.
- Camera and photos: if a User allows it, the app accesses the camera or photo library only to attach photos the User chooses to a visit or record.
- Cookies: our websites use only the cookies needed to keep you signed in and keep the Services secure. We do not use advertising cookies.
Payment information
Payments are handled by third-party payment processors. We do not store full card or bank account numbers on our servers.
3. How we use information
- To provide, operate, and maintain the Services, including scheduling, routing, records, invoicing, and messaging.
- To send texts and emails that a Customer asks the Services to send to its End Customers, such as appointment reminders, on-the-way notices, and invoices.
- To send you service messages, such as account, security, and billing notices.
- To provide support and respond to requests.
- To keep the Services secure, prevent fraud and abuse, and fix problems.
- To understand how the Services are used so we can improve them, using aggregated or de-identified data where possible.
- To comply with the law and enforce our terms of service.
We do not use Customer business data or End Customer information to advertise to anyone.
4. Text messaging (SMS)
Customers can use the Services to send text messages to their End Customers from a phone number assigned to that Customer. Customers are responsible for getting consent from their End Customers before texting them.
- Message frequency varies. Message and data rates may apply.
- Reply STOP to opt out of texts from that number, or HELP for help.
- We do not sell, rent, or share mobile phone numbers or text messaging opt-in data with third parties or affiliates for their marketing or promotional purposes. Phone numbers are shared only with the messaging providers that deliver the messages.
5. How we share information
We share information only in these situations:
- Service providers that help us run the Services under contracts that limit how they can use the information, including cloud hosting and database providers, text messaging, voice, and email delivery providers, payment processors, and error monitoring tools.
- At a Customer's direction, for example when a Customer connects an email account, sends a report to its client, or exports its data.
- For legal reasons, if we believe in good faith that the law, a court order, or a valid government request requires it, or to protect the rights, safety, or property of our users, the public, or Servexi.
- In a business transfer, such as a merger, acquisition, or sale of assets, in which case the information stays subject to this policy's protections.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
6. Data retention
We keep information for as long as a Customer's account is active and as needed to provide the Services. When an account is closed, we delete or de-identify its data within 90 days, except where we must keep certain records longer to meet legal, tax, or accounting requirements, resolve disputes, or enforce our agreements. Backups are overwritten on a regular schedule.
7. Account and data deletion
Account owners can request deletion of their account and its data in the app's account settings or by emailing support@servexi.io from the email address on the account. Customers can also export their data before closing an account. Individual Users can ask their company's account owner to remove them, or contact us.
8. Security
We protect information with industry-standard safeguards, including encryption in transit, encrypted storage, access controls that keep each Customer's data separate, and limited employee access. No system is perfectly secure, so we can't guarantee absolute security, but we work to protect your information and will notify affected Customers of a breach as the law requires.
9. Your choices and rights
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, and to object to or limit certain uses of it. To make a request, email support@servexi.io. We will verify your request and respond within the time the law requires. We will not discriminate against you for exercising your rights. If your information was provided by a service company that uses our Services, we may refer your request to that company.
10. Children
The Services are built for businesses and are not directed to children under 13 (or under 16 where local law sets a higher age). We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
11. Where information is stored
Servexi is based in the United States, and information is processed and stored in the United States. If you use the Services from outside the United States, you understand your information will be transferred there.
12. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the effective date above and notify account owners by email or in the app before the changes take effect.
